Work Ethics & Working Policy

Bitu Way & Infrastructure LLP

1. Purpose and Scope

This policy defines the standards of behaviour, discipline, professionalism, and operational conduct expected from all employees, management, contractors, consultants, and associates working with Bitu Way & Infrastructure LLP.

Our objective is to maintain integrity, safety, efficiency, compliance, and quality across all office operations and on-site activities, especially in road works, haul routes, mining-linked operations, dust suppression, bituminous works, road markings, microsurfacing, and maintenance projects.

This policy applies to:

  • Full-time and part-time employees
  • Site teams and supervisors
  • Contractors, vendors, and third-party associates working under our control
  • Anyone representing the company on client sites or in official communications

PART A: WORK ETHICS POLICY

2. Core Ethical Values

2.1 Integrity

We expect everyone to act honestly, transparently, and responsibly.

  • No falsification of documents, reports, measurements, billing, attendance, or records
  • No misrepresentation of product performance, project progress, or work completion status
  • No manipulation of test reports, supply records, or purchase documentation
  • Zero tolerance for bribery, corruption, or unethical shortcuts

2.2 Professionalism

Professional conduct is mandatory in office and on-site environments.

  • Maintain respectful communication with colleagues, clients, vendors, and the public
  • Follow dress code suitable to the work environment (office or site safety requirements)
  • Use company tools, vehicles, systems, and resources only for official work
  • Follow client site rules, approvals, and reporting structures without conflict

2.3 Accountability

Each person is responsible for the quality and completion of their assigned duties.

  • Deliver work within timelines and agreed scope
  • Report delays, constraints, safety risks, or quality issues immediately
  • Take ownership of mistakes and cooperate in corrective action
  • Do not shift blame or hide errors that can impact safety, cost, or delivery

2.4 Confidentiality

Company information must be protected at all times. This includes:

  • Project details, drawings, site plans, BOQs, estimates, and reporting data
  • Client contracts, pricing, approvals, invoices, and payment terms
  • Technical processes, formulation details, sourcing, and vendor arrangements
  • Internal SOPs, training documents, and company communications

Sharing company information without written authorisation is strictly prohibited. Confidentiality continues even after leaving the company.

2.5 Anti-Corruption and Fair Dealings Policy

We do business through transparent and lawful means.

  • No gifts, commissions, kickbacks, illegal benefits, or “speed money”
  • Do not offer or accept anything intended to influence decisions unfairly
  • Any suspicious demand, transaction, or unethical pressure must be reported to management immediately
  • Vendor and subcontractor dealings must follow approved procurement and documentation practices

3. Discipline and Compliance Expectations

To protect project outcomes and company reputation, the following are mandatory:

  • Follow company SOPs, site rules, and lawful instructions from authorised supervisors
  • Maintain punctuality and attendance discipline (office or site)
  • Do not engage in conflicts of interest (personal gain through vendors, subcontractors, or clients)
  • Maintain proper documentation and reporting as per role requirements

Any non-compliance may lead to warning, suspension, termination, or legal action depending on severity.


PART B: HEALTH, SAFETY & ENVIRONMENT (HSE) POLICY

4. HSE Commitment

Bitu Way & Infrastructure LLP is committed to preventing injuries, protecting the environment, and ensuring safe work conditions across all sites and operations. Safety is not optional, and production targets never override safe practices.

5. Mandatory Safety Requirements (Especially for Road, Mining, and Dust Suppression Works)

5.1 Personal Protective Equipment (PPE)

PPE is mandatory as per the work zone and role.

  • Helmet, safety shoes, reflective jacket/vest (minimum requirement on active sites)
  • Gloves, goggles, masks/respirators, hearing protection where required
  • PPE must be worn correctly and maintained in usable condition

5.2 Site Safety Compliance

  • Follow site induction rules, toolbox talks, and daily safety briefings
  • Respect barricades, signage, vehicle movement zones, and work permits
  • Unsafe conditions must be stopped and reported immediately (stop-work authority applies)
  • Only trained/authorised staff may operate machinery, sprayers, burners, marking machines, rollers, etc.

5.3 Zero Tolerance: Alcohol and Drugs

  • No alcohol, drugs, or intoxicants during duty hours or while on site
  • Reporting to work under influence is a serious violation and will lead to strict action

5.4 Environmental Responsibility

Our work must minimise environmental harm, especially during bituminous and dust suppression operations.

  • Prevent spills, uncontrolled discharge, and contamination of soil/water
  • Follow proper storage and disposal practices for materials and containers
  • Avoid unnecessary over-spraying, wastage, and dust generation during operations
  • Comply with client and statutory environmental requirements

PART C: WORKPLACE BEHAVIOUR POLICY

6. Respectful Workplace Conduct

  • No harassment, discrimination, bullying, or abusive behaviour
  • No threats, intimidation, or inappropriate language

  • Support co-workers when site conditions demand coordination

PART E: REPORTING AND ENFORCEMENT

11. Reporting Concerns

Anyone who notices safety risks, unethical conduct, harassment, corruption attempts, or misuse of resources must report it to management immediately. Reports should be made in good faith.

Retaliation against any person who reports a genuine concern is strictly prohibited.

12. Policy Violations and Corrective Action

Violations may lead to:

  • Verbal or written warning
  • Training or corrective action plan
  • Suspension or termination
  • Recovery of loss/damages
  • Legal action, where applicable
